How do I register candidates for CE and CASE assessments?

Schools will register candidates for CE at 11+ and 13+, CASE, iPQ and Exploring the Ancient World (Classics for All) through the Schools Hub on our website.

Schools will need an ISEB School Account to access product specific registration pages on the website and submit candidates.

Many schools will already have an account used to place orders for past CE, and CASE exam papers on our online shop, registrations for CE, CASE and iPQ are completed through this same portal. If your school does not have an account, they will be able to create one through the Qualification & Registration page on our website.

Once logged into your ISEB School Account, navigate to the Schools Hub where you will then have access to registration areas for the different qualifications, CE, CASE, iPQ and Exploring the Ancient World Project Qualification (Classics for All).

Click on the qualification area you require and download the Candidate Registration Upload Template spreadsheets. Populate this spreadsheet with the information for each candidate using the drop-downs to select the appropriate subject and/or level/s. These registration upload spreadsheets mean schools no longer need to enter candidates one-by-one, and can be completed outside of the registration at school's leisure. For detailed guidance on completing this spreadsheet take a look at our solution article; How do schools complete the Candidate Registration Upload Template spreadsheets?

Once this document is completed, save the file as a CSV (Comma delimited) by selecting the option in the drop-down file type.

Navigate back to the Schools Hub and complete the online form detailing your information, school and contact details. You will then be able to upload the CSV file using the ‘Browse’ option. Accept our Terms & Conditions and click submit. The online form should only take a few minutes to complete.

Once submitted, you will see a record of registrations under the ‘Registrations’ section of your ISEB School Account. You can download the submitted files and make changes through this account.

Please note, candidates can not be uploaded through the system if they have not got a marking school selected in the spreadsheet drop down, previously known as 'undecided'. Users are encouraged to upload once all candidates have confirmed their preferred senior school as there is no benefit to uploading sooner. Alternatively, you can either select 'internal marking' or upload an updated spreadsheet at a later date to include these individuals, provided it is within the registration deadline.

We recommend schools coordinate between all staff who may be required to submit candidates as only one spreadsheet can be submitted per school. The system has been designed in a way to disregard any previous uploaded spreadsheets in favour of the most recent upload and as such only one spreadsheet will be recorded for each school, per ISEB School Account.

I need to amend my candidate registrations.

Once uploaded schools will be able to see a record of their candidates on the dashboard of their ISEB School Account. If changes or updates are required, simply edit the original .Excel version of your populated Candidate Registration Upload Template spreadsheet , re-save as a .CSV (comma delimited) and re-upload through the appropriate qualification area. The registration system will process the most recent version of your candidate registration spreadsheet as long as it is re-uploaded before the closing date.

After the closing date, changes will need to be made via the changes forms, which replace the registration forms from the closing date. You will need to populate the relevant Changes upload template, which can be downloaded from the registration areas after the closing date.

When are exam materials despatched?

Exam papers and any mark schemes (required for 'internal marking') are despatched by Parcelforce approximately two weeks before the exam period. Overseas papers are despatched by DHL.

What is 'internal marking' for CE?

Completed CE exam papers most often are marked by the senior school for which a candidate is registered, however, if a candidate is sitting CE exams as part of an internal assessment process or if candidates' scripts are being marked internally, schools will need to register for mark schemes by selecting the 'internal marking' drop-down option on the Candidate Registration Upload Template spreadsheet.

Once you have registered to receive mark schemes, these will be despatched by our printers in the normal way, in sealed red envelopes. Mark schemes must be stored in a secure location prior to the examinations and not opened until the end of the day on which the relevant examination has taken place.

To find out when exam materials are despatched, read out support article, When are exam materials despatched?

What checks should take place on receipt of exam materials?

Upon delivery of all examination materials, it is essential to check the contents of the boxes against the accompanying packing list. Should you notice a discrepancy please contact us immediately by submitting a ticket through the CE & CASE Support Portal

In accordance with the CE Examination Regulations, all examination materials must be stored securely and remain sealed until the day of the examination.

ISEB recommends that subject envelopes and any pre-ordered mark schemes are arranged in timetable order to reduce the possibility of opening a subject envelope/mark scheme at the wrong time.

For all CE examinations, the examination timetable must be strictly adhered to.

What happens if a candidate is absent on the day of the exam?

If a candidate is unable to sit the examination on the correct day, the senior school should be informed immediately. The candidate can sit the paper later in the examination week, subject to senior school agreement, but not before the specified date.

How should complete exam scripts be despatched?

Prep schools sending scripts to be marked by senior schools should liaise with the senior schools to establish how and when they would like the scripts sent. Scripts may be posted at the end of each examination day, or scanned and emailed at the end of each examination day, with hard copies being sent in one batch at the end of the week.

All hard copies of scripts should be sealed and sent by secure, guaranteed next-day delivery to the relevant senior school.

Sitting centres outside the UK should check with the relevant senior school how they wish to receive candidates’ examination scripts. Some senior schools may require overseas sitting centres to scan, fax, email or post candidates’ examination scripts on a daily basis. Others may require scripts to be posted in a single packet on the last day of the examination period and sent by the quickest and most reliable service.

Prep schools marking scripts internally should liaise with the relevant senior schools in advance of the examination period to establish their requirements in respect of the despatch of scripts and the provision of results.

Examination scripts should NOT be sent to the ISEB office for marking.

How do schools complete the Candidate Registration Upload Template spreadsheets?

ISEB school customers can now access Candidate Registration Upload Template spreadsheets and submit registrations through the new online forms.

Schools can access these easy-to-use templates and corresponding forms by logging into their ISEB School Account and navigating to the Examination & Qualification Registration section, found in the Schools Hub, and selecting the correct qualification registration area: CE or CASE.

Please note, the examination registration areas are only accessible to schools logged-in to a verified ISEB School Account. If you are unable to navigate to these areas or can see a padlock, this indicates you are not logged-in and will need to do so before continuing.

Once on the correct examination registration area you can download the Candidate Registration Upload Template spreadsheet. This will open in .Excel on your computer.

Please note, there is a bespoke upload template for each examination and care should be taken to download the correct spreadsheet for the required qualification, such as CE at 11+, CE at 13+, or CASE.

Once downloaded, open the spreadsheet and begin to populate it with candidate details.

Candidate information required:

  • First name
  • Last name
  • Full preferred name to be printed on the certificate*
  • Date of birth
  • Name of 'destination school' (CE 11+ and CE 13+)
  • Name of ‘marking school’, or 'internal marking’ (CE 11+ and CE 13+)
  • Subject options

*Schools MUST populate the full preferred name field to ensure the correct full name is printed.

Please ensure you enter candidate's names in sentence case i.e. James Smith. Names will be printed on certificates as entered into the upload spreadsheets, so please take care to use the correct spelling and capitalisation.

The spreadsheet includes drop-down features for the following categories:

  • Name of 'destination school'
  • Name of 'marking school'
  • Subject options

Please note, to view the drop-down please click into the cell and the options will appear, scroll to select the correct school for each candidate.

Once all candidates have been entered and checked please save the spreadsheet as a .CSV (comma delimited) file by selecting the drop-down 'file type' when saving, see screenshot below.

Please note: When saving the CE 13+ Candidate Registration Upload Template spreadsheet as a .CSV (comma delimited) file, you will get a pop-up message as shown below. Please click 'OK' to continue to save your .CSV file.

Once a school is satisfied the spreadsheet is fully populated with all candidates entered correctly, please save the document as a .CSV (comma delimited) and upload through the new online forms.

To access these forms, log into your ISEB School Account and navigate to the Schools Hub - Examination & Qualification Registration Area and select the appropriate qualification.

Completing these forms will only take a few minutes. Once a registration has been submitted, a record of candidate registrations will appear in the school's dashboard on the ISEB School Account.

Please note, candidates can not be uploaded through the system if they have not selected a 'marking school' in the spreadsheet drop down, previously known as 'undecided'. Users are encouraged to upload once all candidates have confirmed their preferred senior school, alternatively, these candidates can be registered for 'internal marking' but this will need to be updated prior to the examination session closing date.

Account users can easily update and reupload a new CSV at any time prior to the registration deadline, 24 March. For information on altering candidate details after this deadline take a look at our solution article:

Can we change candidates' details after the closing date?

A video walk through is available demonstrating how to complete and save the templates.
